Cancellation Policy
Effective Date: May 5, 2026.
Cancel anytime. Quick version.
No contract, no minimum term, no exit fee. Cancel from your account portal or by emailing [email protected]. Service continues until the end of the current paid period; auto-renewal stops immediately upon cancellation.
1. Auto-Renewal Disclosure
Your RepDesk subscription renews automatically at the end of each billing period using the payment method on file, until you cancel. Each renewal is charged at the subscription price agreed at checkout for your selected plan and billing interval, in the currency stated on your order. The exact amount of every charge is shown in your account portal and on each invoice. Applicable taxes are calculated at checkout and added to each charge based on your jurisdiction.
You will receive an email receipt every time we charge your payment method.
2. How to Cancel
2.1 Self-Service Cancellation (recommended, fastest)
- Sign in to your RepDesk account at app.repdesk.ai.
- Open Settings → Billing in the sidebar.
- Click Manage Subscription. You will be taken to the secure customer portal.
- Click Cancel Subscription.
- Confirm cancellation. You will receive a confirmation email immediately.
Self-service cancellation completes in under sixty (60) seconds. Your subscription will not renew at the next billing date.
2.2 Cancellation by Email
If you prefer to cancel by email, send a message from the email address on file with your account to [email protected]. Include your business name. We will:
- Send an automated acknowledgment within minutes.
- Process the cancellation within one (1) business day.
- Send a final confirmation email once the subscription is set to terminate at the end of the current paid period.
3. What Happens After Cancellation
3.1 Service Continuation Until Period End
When you cancel, your service continues uninterrupted through the end of your current paid period. There are no partial-month or partial-year refunds for the unused portion of the period you have already paid for. The Refund Policy describes the only situations in which money is returned.
3.2 What Stops
- Future automatic charges to your payment method
- The missed-call text-back automation
- The review-request system
- The follow-up engine
- The unified inbox routing
- Local SEO updates and ongoing maintenance
- Access to your account dashboard, calendar, and reporting
3.3 What Stays With You
- Any reviews already collected on third-party platforms (Google, Trustpilot, Facebook) under your business profile remain on those platforms. They belong to the platform and your business, not to RepDesk
- Your customer data export (see Section 4). Yours to keep
3.4 Domain Name and Phone Number
The domain name we registered for your business website and the dedicated business phone number we provisioned for you are owned by RepDesk during the active subscription. Upon cancellation, we offer the option to purchase the domain and the phone number from us for transfer to your own provider. Pricing is determined on a case-by-case basis depending on registrar fees and number-portability costs. Contact [email protected] within thirty (30) days of cancellation if you wish to retain either asset. After thirty (30) days the domain may be released and the phone number may be returned to the carrier pool.
4. Customer Data Export
Within thirty (30) calendar days of your cancellation effective date, you can request a complete export of your business data accumulated through the RepDesk service. The export includes, where applicable:
- Your customer contact list with custom fields (CSV format)
- Your conversation history (SMS and email threads with customers, CSV)
- Your pipeline / opportunities data (CSV)
- Your appointment calendar history (CSV)
- Reviews collected through your RepDesk-attached review channel (CSV)
Send your export request to [email protected] with the subject line "Data Export Request". We will deliver a downloadable archive within seven (7) business days. The download link remains active for thirty (30) days.
Custom-built website code, proprietary automation logic, and any service-level configurations are not part of the standard export and are governed by the IP terms in our Terms of Service.
5. Reactivation
If you change your mind, you can reactivate your subscription at any time before the cancellation effective date by emailing [email protected]. After the cancellation effective date, you can sign up again as a new customer; depending on your situation we may be able to restore your prior data, so contact us first.
6. Failed Payments and Involuntary Cancellation
If a scheduled charge fails (expired card, insufficient funds, bank issue), we will retry the payment up to four (4) times over fourteen (14) days and notify you by email at each attempt. If payment cannot be successfully collected within fourteen (14) days, your service will be suspended. After thirty (30) days of continuous non-payment, the account is terminated and the data export window described in Section 4 begins.
7. Cancellation Initiated by Us
We reserve the right to cancel a subscription if the account violates our Terms of Service or Acceptable Use Policy, including but not limited to: sending unsolicited messages, regulatory non-compliance, fraudulent activity, repeated chargebacks without prior contact, or non-payment. We provide notice and an opportunity to cure unless the violation is severe.
8. Changes to This Policy
We may update this Cancellation Policy from time to time. Material changes will be announced by email at least thirty (30) days before they take effect. The latest version is always available at repdesk.ai/cancellation-policy.
